Set up the event gallery

The organizer, whether HR, internal comms or the event agency, creates the event in about a minute and switches on the private gallery. No hardware to procure, nothing to install on company devices.

Put the QR code on badges, table tents and slides

Add the code to name badges, buffet signage and the last slide of the opening keynote. Colleagues scan it with the phone camera and upload in the browser. No app on managed devices, no account.

Employee photos and privacy: the checklist

Photo sharing at a company event touches employee data. These points keep it clean.

  • Participation is voluntary. Nobody has to scan, upload or appear in a picture. Say so in the invitation.

  • Use the private gallery so photos are visible only to people with the QR code or link, not to search engines or the public.

  • Inform in advance: one short paragraph in the invitation covering purpose (internal event documentation), who can see the photos and when they will be deleted.

  • Offer an opt-out signal such as a coloured lanyard or wristband for colleagues who do not want to be photographed. Brief the photographer and the MC on it.

  • Internal and external use are different consents. Pictures for LinkedIn, the careers page or a press release need explicit consent of the people shown.

  • Define the retention period before the event and delete the gallery when it ends. The organizer can delete the whole event in one step.

  • External guests and customers count too. At a launch event, the same notice should reach them at check-in.

  • Where you have a works council or employee representatives, involve them early. A short alignment beforehand avoids a long discussion afterwards.

Is photo sharing at a company event GDPR-compliant?+

It can be, if you inform participants, keep participation voluntary, restrict the gallery to attendees and delete photos after a defined period.
